Collect and Match: The Essentials to a Functional Data Wardrobe

The Oregon Health and Science University (OHSU) and Oregon Early Hearing Detection and Intervention (EHDI) program completed a multi-phase health information exchange (HIE) pilot project that resulted in the ongoing direct electronic transfer of newborn hearing screening data from Electronic Health Records (EHR) to the State EHDI program. The success of the project is dependent on the collection and matching of specific demographic identifiers/information (i.e. name, MRN, gender etc.) between the two systems. EHDI staff have implemented matching criteria which yield a high match rate, however, infrequent matching errors and unmatched records persist. This poster will demonstrate and discuss successful match rates for combinations of multiple identifiers, challenging matching scenarios and possible matching algorithms to address them, as well as describe and discuss rare matching errors that can result and how to monitor for them. We will provide recommendations to improve matching rates and quality assurance processes to identify and reconcile erroneous matches for optimal data quality.

Amanda Neve is an Audiology Extern in the Leadership Education in Neurodevelopmental and Related Disabilities (LEND) program through the Institute on Developmental Disability at the Oregon Health and Science University in Portland, OR. She obtained a Bachelor of Arts in Speech and Hearing Sciences at Portland State University and is completing her final year of the doctoral program in Audiology at Pacific University. When not studying, Amanda enjoys spending time with her cats, hiking, and exploring new Portland restaurants.

Heather Durham is a Pediatric Audiologist, Director of Pediatric Audiology, and Newborn Hearing Screening Coordinator for the Oregon Health and Science University in Portland, OR. She has worked closely with the Oregon EHDI program for a number of years and shares the goals and vision of increased and improved reporting, tracking and analysis of data for the state of Oregon. In her free time, she enjoys a good murder mystery and a microbrew.
